CERTKEEP / Preparing care staff training records

Gather the training dates. Make the gaps and next actions clear.

For a care manager preparing records in England, a neat export is a starting point. The useful work is checking what each person needs, what evidence you hold and what action follows a gap.

A review you can repeat.

  1. Start with the service and each staff member’s role. CQC’s Regulation 18 guidance addresses appropriate training, development and supervision. Use the current official guidance to establish the requirements; this page is not a universal mandatory-course list.
  2. Compare each register row with the evidence. Keep the person or staff ID, exact course title and checked dates consistent. Distinguish an actual certificate expiry from an internal review date, and do not invent an expiry for a qualification that has none.
  3. Review overdue, approaching and blank dates. A blank date is a question to resolve, not proof that training is missing. Record any follow-up, responsible person and intended review date in your own action plan; the printable chart has space for these notes.
  4. Export a dated summary for the relevant team and keep the original evidence accessible through your secure document system. Confirm what the reviewer requests and how to share it. Training dates do not replace competence assessments, induction, supervision or wider staffing evidence.
